Roleplan / Chief of Staff

An AI chief of staff for the operator-founder.

Scoped in two hours. Built in two weeks. Pays back in a month.

You're the founder, the marketer, the ops lead, the recruiter, the customer support. Every one of those roles needs someone — but you can't afford a five-person back office, and you don't want to manage one.

Roleplan builds AI chiefs of staff for founders running lean: agencies doing $500k a month from a kitchen table, consumer brands shipping product without a head of ops, info businesses scaling on the founder's voice. Image generation, social drafts, ads-ops digests, meeting prep, inbox triage, weekly business reviews — built around the parts of your operation only you see.

— The squeeze

“It's not a time management problem. The decisions only you can make, like pricing, hiring, partnerships, the creative direction, are getting crowded out by inbox triage, meeting prep, ads-ops, and the daily 200-message DM tide. You don't need another tool. You need something that handles the operating work the way you would, so the things only you can actually decide get your time.”

Real exchanges, lifted from a working chief-of-staff build. You ask; the agent does the work and sends back what it did. Anything customer-facing or financial waits for your nod.

— How it works

Three stages. No surprises.

Step 01 2 hours · $999

Audit

We map your week, your tools, your bottlenecks. You walk away with a prioritised build plan, scoped and priced. Refundable if we conclude we can not help.

Step 02 2–4 weeks · scoped at audit

Build

We build the AI chief of staff to that plan. Trained on your tone, your tools, your data. Human-in-the-loop for the first two weeks.

Step 03 Monthly · optional

Retainer

We manage, optimise and expand the system as your operation grows. Routine work runs unsupervised; high-stakes flows keep human oversight by design.

— Pricing

Public. Locked. No surprises.

Athena, Belay and Somewhere all hide their prices. We don't. The audit price is locked before we start; the build price is locked after the audit, before any code is written.

— Who it's for

Built for some founders, deliberately not others.

+ built for
  • Solo founders doing $30k+/mo from agency, info, content or creator businesses
  • Operator-CEOs of 5–30 person consumer / DTC / agency / info teams
  • Anyone juggling product, marketing, ops, ads, content and hiring without a real ops layer
— not built for
  • Pre-revenue founders looking for cheap productivity tools— try Lindy at $50/mo
  • Large enterprises with established back-office— you need a real chief of staff, not an AI one
  • Anyone wanting a full-time human VA— try Athena or Somewhere
— Running something bigger?

$10m+ business with an established team?

We also build fully bespoke chief-of-staff systems for established CEOs whose existing EA is overloaded. Same engine, completely custom scope. The audit is the same starting point; the build is whatever your operation actually needs.

— FAQs

Operator-founders asking, we're answering.

01 What is actually built during the build phase? +
A custom system tailored to the audit plan. Could be: an inbox-triage agent, a meeting-prep agent, a weekly-review report generator, a Meta-Ads digest, an image-gen workflow, a social-content pipeline. Most builds combine 3–5 of these. You get the system, the prompts, the integrations, and the documentation.
02 How is this different from Lindy or other AI assistant SaaS? +
Lindy is a great $50/mo product if you want a generic AI assistant. We build bespoke systems trained on your tone, your tools, your data — not a template. If you have outgrown the generic productised tools and need leverage on the parts of your operation only you understand, this is what that looks like.
03 How is this different from a human VA like Athena or Somewhere? +
Speed and cost. A human VA costs $2–3k/mo, takes 2–4 weeks to onboard, and works business hours. The AI chief of staff replies in seconds, runs 24/7, does not churn, and scales with you. Where humans win is judgement on novel situations — which is why the system has human-in-the-loop handoff for anything outside its remit.
04 Do you need access to my email and calendar? +
Yes — read access at minimum. We use Google Workspace or Microsoft 365 OAuth, scoped to only what the system needs. All access can be revoked at any time. We sign DPAs and follow GDPR / UAE PDPL.
05 What if it screws up? +
It will, occasionally — same as any new hire. We build human-in-the-loop checkpoints for the first two weeks, and ongoing for high-stakes flows (anything customer-facing, financial, or hiring-related). You approve before it sends.
06 Can you integrate with my existing tools? +
Almost certainly. Notion, ClickUp, Slack, Meta Ads, Google Ads, Gmail, Google Calendar, Outlook, Stripe, Shopify, Klaviyo, Mailchimp, Calendly, Cal.com, Linear, GitHub, ManyChat, and most bespoke stacks. If it has an API, we can wire it in.
07 Is the build mine to keep? +
Yes. The system, the prompts, the configurations are all yours. The retainer is for ongoing work — you can cancel any month and the system keeps running. We do not lock you into our infrastructure.
— Security & access

Your data, your keys, your call.

When you give an AI access to your inbox, calendar, ads accounts and customer data, the questions that matter are simple: what can it see, what can it change, and how fast can you pull the plug.

read-only · default
OAuth-scoped to read by default. Anything customer-facing or financial waits for your approval.
no training
We don't train models on your data. Ever. Not us, not the LLM providers we route through.
team access
Our team can't see your inbox. Your keys and access stay with you.
revoke · audit
One-click revocation of any integration. Full audit log of every action the agent takes.

Ready to stop being everyone's bottleneck?

Book the $999 audit. Two hours, on the call, we tell you exactly what your AI chief of staff would do — and what it would cost to build. If we can't help, you get the $999 back.
